Catering Policies and Procedures


Advance Notice

The minimum notice required for a catering order is 4 business days. If you are planning a large event, we recommend you book a site and contact us at least one month before the event. It is possible to accommodate a late order, although it may be subject to a 25% surcharge commensurate with the complexity of the event. Due to supply chain issues, advanced notice gives us the best chance to ensure all product can be procured.

Final Counts

In order to ensure adequate time for food and staff coordination, a final guarantee of attendance is required 3 business days prior to the event.

Cancellations

Should the need for a cancellation arise, we require 2 business days’ notice. If we receive a late notice, the client will be charged for any expenses already incurred.

Delivery Times

Catering will deliver to any location on campus during the regular delivery hours of 7:00AM-8:00PM, Monday through Saturday. Sunday service is available upon request. For deliveries outside of hours, a labor surcharge may apply.

Equipment

The contracted group is responsible for all equipment provided for a non-attendant function. Serving equipment may not be removed from any event. Any equipment not returned will be billed at its replacement cost on your event invoice.

Unconsumed Food and Beverage

Due to health regulations, unconsumed food and beverages are not to be taken from the premises. Any food or beverage remaining at the end of a function is the property of AVI. Safe food handling procedures restrict catering personnel from making provisions to package leftover food.

Linens

Linens for food and beverage tables are included. Supplemental linens are available at an additional cost. For specific charges assessed on additional linen, please inquire when placing your order.

China Service

Plastic service is always included with set-up, but China service is available as well. China Service is available at an increased price. China service also requires more staff to successfully execute the event. Service fees may apply.

Special Diets

We are more than happy to make arrangements to accommodate a special dietary need. Please notify the catering office of this with at least 3 business days lead time. Some specialty items require special order.

Custom Menu

We are able to create custom menus specifically designed to accommodate your group’s needs or desires. Our catering department will work together with you to create a menu that is perfect for your event.
